Microsoft 365 licensing confuses almost everyone, and choosing the wrong plan means either overpaying or missing tools you need. As a CFO, getting licensing right is one of the easiest ways to control IT spend without sacrificing capability. Here is the comparison in plain terms.

The three main business plans

For small and medium businesses, the choice usually comes down to three plans:

PlanKey ideaBest for
Business BasicWeb/mobile apps + email + Teams, no desktop appsLight users, web-first teams
Business StandardEverything in Basic + full desktop appsMost typical office users
Business PremiumEverything in Standard + advanced security & device managementBusinesses that take security seriously

What separates them

Business Basic gives you hosted email, Teams, OneDrive and the web and mobile versions of the Office apps - but not the installed desktop apps. It suits staff who work mostly in a browser.

Business Standard adds the full desktop versions of Word, Excel, PowerPoint and Outlook. For most office workers, this is the sensible baseline.

Business Premium is the one most businesses underestimate. On top of Standard, it bundles advanced security and device management - the tools to enforce multi-factor authentication, manage devices, protect against email threats and more. Bought separately, these would cost considerably more.

The Premium value trap (in a good way)

Here is a CFO insight: many businesses buy Standard and then pay extra for third-party security tools that Premium already includes. If you need serious security - and most businesses do - Premium is often cheaper overall than Standard-plus-add-ons. Work out the total, not the sticker price.

You can mix plans

You don't have to put everyone on the same plan. A warehouse worker who only needs email might be on Basic, while your finance team is on Premium. Right-sizing per user keeps costs lean.

Don't forget the must-dos

Whichever plan you choose, the security configuration and a proper backup still need attention - the licence is only the starting point.
